BOOK DIRECT WITH CONFIDENCE
Booking terms & privacy notice
Clear information about booking, payment, cancellation, your stay and how we use guest details.
1. Who we are
Kings Caravan is privately owned holiday accommodation at Sunnymede Park, Ingoldmells. These terms apply to direct bookings made with the owners. Contact: liamking1996@hotmail.com.
2. Booking requests and confirmation
Submitting the online form is a booking request only. It does not reserve the dates or create a confirmed booking. We will approve or decline the request. If approved, the dates are held for 24 hours while the required bank transfer is pending. The booking becomes confirmed only when we have received and recorded the required payment. If payment is not received within the deadline, the hold may expire and the dates may be offered to somebody else.
3. Dates, guests and use of the caravan
Standard stays arrive and depart on a Monday or Friday and must be at least three nights. Other available date combinations may be requested and are subject to approval. The maximum occupancy is eight people and only the guests included in the booking may stay overnight. The lead guest must be at least 21 and is responsible for the whole party. The caravan is intended for family holidays, couples and responsible groups; parties, events and disruptive gatherings are not permitted. Pets are not permitted unless expressly agreed in writing before booking.
4. Prices and payment
The agreed holiday price is shown before the request is submitted. A £50 booking deposit is required within 24 hours of approval. For bookings made more than eight weeks before arrival, the remaining holiday balance is due 56 days before arrival. For bookings approved within 56 days of arrival, the full holiday price plus the £50 deposit is required within 24 hours. Payment is by bank transfer. We may cancel an unpaid booking after contacting the lead guest and giving a reasonable opportunity to resolve the missed payment.
5. The £50 booking deposit and damage bond
The £50 payment secures the booking and is non-refundable when the guest chooses to cancel, subject to applicable consumer law. For a completed stay it acts as a damage bond. We aim to return it within seven days after departure, provided the caravan is left in good condition. Reasonable deductions may be made for damage, missing items, lost keys, smoking or vaping, unauthorised guests or pets, and cleaning needed beyond the normal changeover clean. A fixed £120 parking-permit charge applies if the permit is lost, damaged or not returned at the end of the stay. We will explain any deduction and provide available evidence. If the amount due exceeds the £50 damage bond, the lead guest remains responsible for the difference.
6. Guest cancellation
Tell us in writing as soon as possible if you need to cancel. Unless a different written agreement is reached, the maximum cancellation charge is: • More than 56 days before arrival: the £50 booking deposit. • 29–56 days before arrival: 50% of the holiday price, plus the £50 deposit. • 15–28 days before arrival: 75% of the holiday price, plus the £50 deposit. • 14 days or fewer before arrival, or non-arrival: 100% of the holiday price, plus the £50 deposit. We will take reasonable steps to rebook cancelled dates. If we recover money by rebooking, we will refund the amount recovered so that what we retain does not exceed our reasonable direct loss and costs. We recommend suitable UK holiday insurance.
7. Cancellation by us
If we cannot provide the caravan, we will refund payments made to us for the affected booking, including the £50 deposit. We are not responsible for separate travel, entertainment or other arrangements, except where the law requires otherwise. Nothing in these terms removes rights or liability that cannot legally be excluded.
8. Arrival, departure and access
Check-in is from 3pm and checkout is by 10am on the departure date. Departure instructions will be sent before checkout. Access details and the key-safe code are private and will only be supplied to confirmed guests at the appropriate time. We may enter the caravan without notice in an emergency and with reasonable notice where access is required for safety, inspection or urgent repair.
9. Conduct and site rules
Guests must follow Sunnymede Park rules and behave considerately. Quiet hours are 10pm–8am. Smoking, vaping, illegal drugs, threatening behaviour, excessive noise, tampering with alarms or fire equipment, and the use of candles or barbecues inside are prohibited. Serious or repeated breaches may end the stay without a refund where this is reasonable and proportionate.
10. Care of the caravan
Report faults, damage or missing items promptly and provide photographs where reasonably requested. Lock doors and windows when leaving, use utilities responsibly and switch off heating and appliances when not needed. Bedding is supplied; guests should bring towels and personal toiletries. The caravan must be left reasonably tidy, with rubbish removed as directed.
11. Parking and park facilities
A maximum of two vehicles may be permitted, subject to current park rules. The parking permit must be displayed as instructed and left on the table inside the caravan when checking out. A fixed £120 charge applies if the permit is lost, damaged or not returned. This charge may be deducted from the damage bond, with any remaining balance payable by the lead guest. Guests are also responsible for parking charges caused by their failure to follow the rules. Vehicles and belongings are left at the guest's own risk. Park facilities, entertainment and passes are not included unless specifically stated, and their opening, availability and operation are controlled by third parties.
12. Problems during the stay
Tell us immediately if there is a problem so we have a reasonable opportunity to investigate and put it right. We will not be responsible for losses that could reasonably have been avoided by reporting the problem promptly. This does not affect statutory rights.
13. Personal belongings and liability
Guests are responsible for their personal belongings and vehicles. We do not exclude liability for death or personal injury caused by our negligence, fraud, or any other liability that cannot legally be excluded or limited. Otherwise, any liability will be assessed under applicable law and the circumstances of the booking.
14. Privacy notice
We collect the lead guest's name, email address, telephone number, stay dates, party size, messages and booking/payment records. We use this information to respond to requests, administer the booking, communicate before and after the stay, protect the caravan, keep financial records and deal with legal claims. The usual lawful bases are taking steps at your request before a contract, performing the booking contract, complying with legal obligations and our legitimate interests in operating and protecting the accommodation.
Information is stored in our booking system and may be processed by service providers used for website hosting and transactional email. We only share the minimum information reasonably needed with people helping to provide the stay; for example, a cleaner may receive changeover dates but not guest contact or payment details. We do not sell guest information.
Unsuccessful enquiries will normally be retained for up to 12 months. Confirmed booking and payment records may be retained for up to six years after the stay where needed for tax, accounting or legal purposes, then securely deleted or anonymised. You may ask to access, correct or erase your information, or object to or restrict some processing, where those rights apply. Contact us first at liamking1996@hotmail.com. You may also complain to the Information Commissioner's Office at ico.org.uk.
15. General
If part of these terms is found unenforceable, the remaining terms continue to apply. These terms are governed by the law of England and Wales. Nothing in them affects the guest's statutory consumer rights.
